# Workspace limits

> Set monthly limits per workspace on included minutes, included messages and wallet spend, so one workspace can't use up the whole account.

Every workspace on an account shares the same plan allowance and the same wallet. One busy workspace can use up minutes and money meant for the others. **Monthly limits** stop that.

Each workspace can have three optional limits:

| Limit | Unit | What happens when the workspace reaches it |
| - | - | - |
| **Minutes** | Included call minutes | The workspace stops using the account's included minutes. Its calls are then paid from the wallet, at your plan's [overage rate](/billing/plans#plans). |
| **Messages** | Included messages | The workspace stops using the account's included messages. Its messages are then paid from the wallet, at your plan's overage rate. |
| **Wallet spend** | Dollars | The workspace can't spend more from the wallet. New calls and messages in it stop. |

All three reset when your account's billing period renews, together with your included minutes and messages.

<Tip>
  Agencies use these to give each client workspace its own share. For example, give a client 300 minutes and a $50 wallet budget a month. Once they use the 300 minutes, their calls draw on the wallet. Once they spend $50 from it, their calls stop until the next period.
</Tip>

## Who can set them

Only the **account owner** can set or change limits. Admins can see the limits and what each workspace used, but can't change them. The stop email tells admins to ask the owner.

## Set a limit

1. Open **Settings > Admin > Workspaces**.
2. Open the workspace.
3. Find the **Monthly limits** card.
4. Type a number in **Minutes**, **Messages** or **Wallet spend**.
5. Click **Save**.

How the boxes work:

* **Empty means no limit.** This is the default. Clear a box to remove its limit.
* **0 is a real limit.** A minute limit of 0 means the workspace never uses included minutes, so every call is paid from the wallet. A spend limit of \$0 means the workspace can't spend from the wallet at all.
* **Minutes and Messages** take whole numbers, for example `300`.
* **Wallet spend** takes dollars, for example `200` or `200.50`.
* Only the limits you changed are saved. The others keep their value.
* If Nedzo can't save a limit, the card shows why. For example, a minute limit needs a plan that has a rate for extra minutes.

## What the card shows

Under each limit, the card shows what the workspace used this period:

* *120 of 300 minutes used this period*
* *450 of 500 messages used this period*
* *$32.10 of $50.00 spent this period*

It also warns you when a limit is reached:

| Message | What it means |
| - | - |
| Minute limit reached. Calls are now paid from the wallet. | The workspace used its included minutes. Calls keep going on the wallet. |
| Less than 5 minutes left, counting calls in progress. New calls also need money in the wallet. | Fewer than 5 included minutes are left, after counting calls that are still running. A new call uses them first and the wallet pays the rest, so it needs wallet money too. |
| Message limit reached. Messages are now paid from the wallet. | The workspace used its included messages. Messages keep going on the wallet. |
| This workspace has reached its limit and has stopped spending from the balance. | The wallet spend limit is reached. New calls and messages in this workspace stop. |

If the card can't load the limits, the boxes say **Unavailable** instead of **No limit**.

## When a workspace stops

A workspace stops taking new calls and messages when it can't pay for them. This happens when:

* it reached its **wallet spend** limit, or
* its included minutes or messages are used (its own limit, or the account's whole allowance), and the wallet is empty with nothing to refill it.

Calls already running finish. They are only cut off when the account runs out of both included minutes and wallet balance.

If Nedzo can't read a workspace's limits, it does not let that workspace start new paid calls or messages until it can. A limit is never skipped by mistake.

### The stop email

When a workspace stops, the account owner and admins get an email. The subject says what stopped, for example *Calls stopped in Acme Dental* or *Messages stopped in Acme Dental*.

The email says why it stopped and what fixes it:

| Why | What fixes it | Button |
| - | - | - |
| The workspace reached its monthly spending limit | The account owner raises the workspace's limits | View workspace limits |
| The included minutes or messages are used and the wallet is empty | Top up the wallet or turn on auto top-up | Top up wallet |
| The wallet is empty and auto top-up didn't cover it | Top up, or check your card and auto top-up settings | Top up wallet |
| The plan is cancelled or not active | Reactivate your plan | Reactivate plan |

Each workspace sends at most one stop email a day, so a busy workspace doesn't flood your inbox.
